Membership |
1st Wem Scout Group use On-Line Scout Manager (OSM) (including My.Scout) for all the administration of our group. All personal data for our members and their parents/carers is held on this system.
The group relies on OSM to be able to provide information so that our activities are provided in a safe manner for our young people and to be able to communicate with parents. By providing the personal information to register for Scouting, you are agreeing to us holding personal data for you and your child. If you cannot agree to this, we regret that we cannot accept your child as a member of 1st Wem Scout Group |
Personal Information we hold and what we do with it |
Member information includes name, date of birth, address, gender, medical and additional needs information plus parent/carer contact details.
Census information, such as ethnicity and religion, is not recorded against the individual member and is used for statistical purposes only. Member information is required for ensuring their safety and wellbeing and to be able to track progress for awarding badges.
Parent/carer contact details are required for providing you with information about meetings, events and general communications and so that we can contact you in an emergency. |
Sharing the data & Leaving the Group |
We will share member and parent/carer details on OSM between the Beaver, Cub and Scout sections and with our Group Executive Committee. This is so that members can move between sections seamlessly. The Group Executive Committee need information for future group planning and for Charity Commission and HMRC reporting.
If your child moves to a new group that uses OSM, we will only transfer their records to them when we have received your explicit consent. We will not share your information with third parties without your explicit consent. Youth member personal data is removed from OSM when they leave the group. In some circumstances we are required to retain parent contact information for HMRC reporting in accordance with their current guidelines.

Your rights

You have the right to request to see any information that we hold about you and your child. Contact the Data Protection Officer, Tim Wilton-Morgan, on tim@tsmeuk.com or 01939 235703. In reality, we do not hold any information that is not held on OSM and you are able to view this at any time by logging into My.Scout. We encourage you to keep it up to date.
